Database Setup - Encore

In order for member information to communicate to MemberInsight, set up has to be completed in Encore.

Here are the different sections to review to ensure that the setup is correct. 
  1. Login to Encore
  2. System Administration > Integration >
  3. Select MemberInsight
  4. Click Member Insight Tab
  5. Select one of the tabs under the Member Insight Tab
    • Survey Departments
    • Sales Areas
    • Membership Types
    • Club Statuses 

This section will display a list of Departments that have been created usually with a Description that has the same name.

To create a new department:
  1. Click New or type in row with asterisk on the left
  2. Type in new department code 
  3. Type in new department description
  4. Make sure the Status is “Active”
  5. Click Save
This section looks at POS transactions and how they will be mapped out to specific sales areas and departments to determine attendance and what surveys a member should receive. Sales Areas are linked to a Survey Department to better define where the activity took place.
  1. Click Sales Areas Tab
  2. Sales Area will be listed with the matching Survey Department - option to click on Filters icon to narrow down the Sales Item categories to be associated with the survey department. 
If the incorrect Survey Department is matched to the Sales Area, use the drop-down under Survey Department to select the correct department

Editing Filters
If the club wants to narrow down the Sales Items/Sales Categories
            1. Click on the icon under Filters for the department that needs to be edited
            2. Uncheck All Sales Categories
            3. Checkmark the Sales Item Categories that should be associated with the department
This section allows the club to identify which membership types will be eligibile to receive a survey.
  1. Click Membership Types
  2. Restrict to Specific Membership Types: this box should be checked
  3. Place a check mark beside the Membership types that you want to be eligibile for a survey
  4. Click Save 
This section allows the club to identify which Club Statuses will be eligibile to receive a survey.
  1. Click Club Statuses
  2. Restrict to Specific Club Statuses: this box should be checked
  3. Place a check mark beside the Club Statuses that you want to be eligibile for a survey
  4. Click Save
